DRAFT SHIRE MEETING MINUTES, May 2010 DRAFT
Attending: Alia, Ismay, Catherine, Thomasina, Rhieinwen,
Umberto, Lareej, Mayken, Richard, Wilhelm, Arabella
Meeting started: 7:03 p.m.
Officers
A&S. Albra was not present but sent a report. Starting in
June, she hopes to plan some Sunday A&S workshops. Suggestions so far are
basic jewelry techniques and Tudors (to prepare for Black Rose Ball in
October); if you have other ideas, let her know again because she may have
forgotten. Please bring your latest and greatest projects to Darach Anniversary
for the People’s Choice A&S Demo—they don’t have to be finished; just
include a few words about what it is. She will provide 3x5 cards, voting
tokens, a pop-up, a table, and a prize.
Chatelain. Aran was not present but sent a report. He talked
to three newcomers in the last couple of months and gave them contact
information.
Chronicler. Rhieinwen hopes everyone enjoyed the extra-long
issue this month. She noted that we will have to figure out how to get info to
people who don’t have Internet access once we no longer have a newsletter.
Constable. Ismay said she will bring the lost and found from
Black Oak Lodge to Darach Anniversary. Please check to see if something belongs
to you.
Exchequer. Alia said we have $8057.55 before cutting checks
tonight. She has stuff to go into the Shire shed: the Black Oak Lodge box and
the Exchequer archives.
Herald. Richard said nothing has been submitted so there
is no report from the Kingdom meetings. If anyone has something to discuss at
court at Darach Anniversary, see him tonight or e-mail him or find him as early
as possible Saturday morning. If anybody is bored during the day, he’d love to
have extra field heralds.
Lists. Thomasina had nothing to report, and she assumes
everything is set for Anniversary.
Marshal. Wilhelm has been talking to Askell about the
Protectorate; Askell will coordinate with Thomasina.
Quartermaster.
Umberto said he has nothing to report. See below for Darach Anniversary
loading/unloaded info.
Seneschal. Catherine said we got all our requested calendar
dates for our 2011 events. She is still waiting to hear about the fall Queen’s
Champion Equestrian date. She asked that when officers do their regular
reporting to Kingdom, it would be helpful if you e-mailed her a copy. Ismay
said the copies are still automatically still going to Elizabeth. Catherine
will talk to the Kingdom webwright.
Webwright. Wilhelm said we have the officer e-mails set up as
xxxx@darach.org so we now finally comply with SCA policy. He needs to get the
new web permission forms signed. Rhieinwen understands that we have to use the
Kingdom form; Wilhelm thought we could create our own. He will sort the
question out with the Kingdom webwright.
Youth Officer. Mayken said there will be youth activities at
Darach Anniversary.
Guilds
Textiles Guild. Albra sent a report that guild workshops have been
well attended.
Brewers Guild. Wilhelm said there will be a meeting at Kuzmina
& Tom’s a week from today.
Cooking Guild. Catherine said the guild is still on hiatus.
Herbal Guild. Morgana was not present but sent a report that
there was no meeting in April. The next meeting is Mon, May 17 (note: not the usual day!) and we will research
period perfumes. Ismay said the Ojai Lavender Festival is Jun 26.
Scribal Guild. Albra sent a report that guild workshops have
been well attended, and scrolls are getting traced and painted. She has several
promissories to turn in this weekend. We always need help with tracing and painting—let’s
get more of the backlog of scrolls whittled down! There is a scriptorium
planned at Anniversary as well.
Woodworking Guild. Luzia sent a report that the guild is still on
hiatus. Call for an appointment.
Old
Business
Sable Oak Medallions. The medallions have arrived, and Luzia will be
bringing them to the event. Ismay said they are very pretty. They will be for
sale after 2 p.m. (after Gate closes) from the Exchequer. Cost is $5 for new
recipients to replace theirs.
Site Booklet Cover Letter. Ismay and Rhieinwen wrote a cover letter to be
sent with the booklet that explains to site owners who we are and what we need
in sites. Ismay has found several potential sites in Ojai and wants to send
them the booklet and set up meetings. Catherine will review the letter.
Black Oak Lodge 2010 Wrap-up. Alia reported that the event made a small profit
of $137.32. The stewards’ box is ready to go into the shed.
New
Business
Presentations at Darach Anniversary. Ismay says she has jewelry from Albra, as well
as some bruise juice and sprays. Rhieinwen and Umberto have candleholders to
donate. We need stuff for Their Excellencies and Highnesses as well. Ismay
asked Wilhelm about getting something from the Brewers Guild as well. Catherine
asked if edibles were acceptable; yes, they are. Rhieinwen offered some lemons
to pad out the baskets.
Presentations at Coronation (Jun 5). We need to start thinking about this.
The Shire meeting is right before the event. Lareej volunteered to coordinate.
Shire Fundraiser. Rhieinwen said the cartographer who drew the
full-color historic map of Darach (printed in the May newsletter) has also
given us permission to copy it and sell it as a fundraiser. Arabella said she
can print 11x17 color cardstock at work. People asked if the map can be
updated; Rhieinwen will follow up.
Agendas Prior to Meeting. Ismay noted that meeting agendas should be up
and available prior to the Shire meeting. Ismay has been missing them but they have
been posted. Maybe the deadline needs to be a day earlier?
Shire Mailing Address. The Crown
Prints is still listing our old PO Box. Catherine will poke the Kingdom
regnum deputy; Alia will change the address on checks as needed.
Black Oak Lodge 2011 Bids. Bids need to be submitted by the July Shire
meeting.
Shire Potluck at Great Western War. Ismay asked what people thought about having one
Friday night? The consensus was very positive.
Upcoming
Events
Darach Anniversary (Mayken), May 15. Mayken said Altavia’s exchequer is willing to
help, although Alia hasn’t heard from him/her yet. Mayken gave the site tokens
to Alia. Lists and fighting are covered. Miryam has donated a handmade belt
with a firm price to sell at the White Elephant Sale. We still haven’t heard
from TRM re: whether they’re bringing the Royal pavilion; if not, we will use
Altavia’s pavilion for them. We need folks to help set up eric, signs,
pavilion, pop-ups, etc., at 8 a.m. Alia asked if someone had horse waivers;
Arabella does. If you come early, park properly so late-comers line up
correctly and not park too close to horse trailers. We will be loading from the
shed at 5 p.m. Friday.
Pirate Tournament (Lareej), Jul 31. Lareej says has secured the site; the lady she
worked with was very nice and gave us the biggest possible discount. She is
working on getting the insurance. Eogan is handling rapier, Wilhelm is running
armored combat, and all contests are sponsored. Lareej will need help with site
tokens. The event announcement has been sent to the Crown Prints, The Oak Leaf,
and is listed on Facebook. She wants to have a games table and arts display.
Ismay asked for clarification about set-up time, because the city says 8 a.m.
but the dog park people previously said they had it until 9 a.m. The Kingdom
youth officer is willing to provide marshals and equipment for Youth Combat.
There will be a Shire potluck for lunch at the event.
Yule (Ismay), Dec 18. Ismay said she has been reminding the nice lady
at the Ojai Women’s Club that they are carrying over our deposit. We are set
for the date.
