Shire Meeting Minutes, March 2010

Meeting started: 7:00 p.m.

 

Officers

 

A&S. Albra said she submitted her quarterly A&S report. She didn’t receive reports from any guild heads, so she was very creative, and she reminded everyone that she really does need reports. She is working on classes for Black Oak Lodge and is waiting for a couple of confirmations. So far Collette is teaching knitting, Astridhr is teaching textiles, and Aran is teaching a persona class.

 

Chatelain. Aran was not present and didn’t sent a report.

 

Chronicler. Rhieinwen said she won’t be at the May meeting but will have someone take minutes. She will be stepping down as of June and needs a deputy.

 

Constable. Ismay had nothing to report.

 

Exchequer. Mattea said the Feb statement has not arrived. Our current balance is $8776.23.

 

Herald. Richard had nothing to report.

 

Lists. Thomasina had nothing to report.

 

Marshal. Wilhelm said the Feb costumed fighter practice was rained out. He would like to do another one, but we have Crown Tournament, Black Oak Lodge, and King’s Hunt coming up, so we’re looking at mid-Apr. There will be no heavy practice this weekend or the weekend of King’s Hunt, but there will be rapier practice.

 

Quartermaster. Rhieinwen noted that the war cart takes up a lot of room in the shed and hasn’t been used at an event for several years. Does the Shire want to keep it? Catherine suggested we discuss it on the list. Rhieinwen and Umberto asked if they could swap positions, with Umberto becoming the Quartermaster and Rhieinwen becoming deputy, since Umberto is the person to call about getting things out of the shed. The Shire was amenable.

 

Seneschal. Catherine said her report is due on Mar 10, so she’ll be doing that tomorrow before Crown. She will e-mail officers if she needs information. She got our calendar bids in for 2011 and Kingdom is very happy with us for getting them in before the deadline—we were among the first 6 to do so.

 

Webwright. Wilhelm said he has not done anything with the website this month.

 

Youth Officer. Mayken said we’re having an event in a couple of weeks. She’s still looking for a deputy.

 

Guilds

 

Textiles Guild. Albra said Textiles is going well, averaging 3–7 people.

 

Brewers Guild. Wilhelm said they didn’t have a meeting this past month (Feb), but he loaned some equipment to one of the members to bottle a cherry beer. The Mar meeting will be Mar 11 at Mattea and Robie’s.

 

Cooking Guild. Catherine said the guild is still on hiatus.

 

Herbal Guild. Morgana was not present but sent a report. There was no meeting in Feb due to Estrella War. The next meeting will be Mar 12 and they will research making perfume. They will also be making herbed cheese at Black Oak Lodge.

 

Scribal Guild. Albra said there was a nice turnout at the Feb Scribal workshop. People traced four scrolls. Please show up and help out—tracing is easy!

 

Woodworking Guild. Luzia said the guild is still on hiatus.

 

Old Business

 

Sable Oak Medallions. Per a poll on the Sable Oak list, 19 people said they would probably pay to buy a metal medallion and 2 said they probably wouldn’t. If about 30 Sable Oaks would pay, that leaves 70 more medallions, so we’ll have them for a long time. New Sable Oak members would not be charged, but if you lose one and want a replacement, it would be $5. Shipping takes 6–8 weeks, so we’d have them by Anniversary Tournament. The Shire voted to purchase the medallions.

 

Kingdom Calendar 2011—Loose Ends. We probably won’t get Fall Crown, so Catherine put in dates for Pirate Tournament: Jul 31, Jul 24, Aug 7. She added Darach Yule to the Kingdom Calendar. Once Kingdom has all the bids in, probably this summer, we’ll hear what we got.

 

New Business

 

Cover Letter for Potential Sites. Ismay said there are several potential sites in Ojai she’d like to contact; one is a high school with a huge field and big auditorium. Rhieinwen created a booklet introducing sites to the SCA that is available from the Stock Clerk; if the Shire is willing for Rhieinwen and Ismay to write a cover letter, we can give the potential sites a packet of information. We’ll stress that we’re nonprofit, etc. The Shire was amenable.

 

Site for April Shire Meeting. Pacific HS will be closed the day of our April meeting, so we need an alternate site. Ismay said we could probably get the Bunnin room and she will ask tomorrow. Wilhelm suggested if we can’t get the Bunnin room, we could bump forward a week and meet on Apr 8.

 

Great Western War, Oct 6–11. Rhieinwen read an announcement from the War staff (see ad elsewhere in this issue). Kelvin is our camp master. Catherine will let Facilities know we’re willing to sponsor a shower truck.

 

Acoustics. Luzia asked people to keep private conversations to a minimum during Shire meetings because she’s having trouble hearing.

 

Upcoming Events

 

Black Oak Lodge (Mattea & Alia), Mar 19–21. The stewards have lots of volunteers but need more. There is a lot of poison oak on site and they have asked the ranger to cut it back. They are working on site tokens; Rhieinwen said she and Umberto bought a massive amount of black, white, and silver/grey ribbon when Fabric Well went out of business, for use with future site tokens. There are 44 campers reserved, so everyone will get their requested cabins. Shed unloading will be Fri at 9 a.m.

 

Darach Anniversary (Mayken), May 15. She needs to get a check for the site and is waiting to hear from Altavia whether they can help with Gate. She asked for ideas for site tokens. Lists and fighters are covered. She is looking for an equestrian lists person but can probably get one from Altavia. Ada volunteered to run the white elephant sale if she can make it to the event. Merchanting is probably too expensive because of Thousand Oaks’ rules. The event announcement was in the March Crown Prints and will be in the April issue as well. If you need a popup or tables, let Mayken know so she knows how many we all need; Altavia can provide some, too. She is waiting to hear from Their Majesties about using the Shire pavilion.

 

Darach Pirate Tournament (Lareej), Jul 31. The event isn’t until July so Lareej hasn’t done much yet. She has ordered site tokens and is working on games and contests.

 

Yule 2010 (Ismay), Dec 18. Ismay had nothing to report.
