Shire Meeting Minutes, February 2010

Meeting started: 7:02 p.m.

 

Officers

A&S. Albra said A&S is still going on in the form of the various guilds. She will not be taking on Kingdom A&S after all, but still needs a deputy.

 

Chatelain. Aran sent a report that he cannot find the teacher’s name (at Haydock Middle School) who was interested in us doing a demo.

 

Chronicler. Rhieinwen apologized for the short and slightly late issue. Her last issue will be June 2010 and she is looking for a deputy.

 

Constable. Ismay said whatever was left in Lost & Found was either returned to its owners or taken to Kingdom Twelfth Night and auctioned off.

 

Exchequer. Mattea said the Doomsday Report is finished. We posted a net loss of $1086.99, but we did buy pop-ups and tablecloths, etc.

 

Herald. Richard said he has received no submissions. If your device is registered, the Kingdom is putting them on the Kingdom College of Heralds website. See the article elsewhere in this issue. He won’t be attending the next two meetings so items need to be submitted to him on the Thu before (Feb 18, Mar 18).

 

Lists. Thomasina had nothing to report.

 

Marshal. Wilhelm said we’re still having practices. There were no events with fighting in the past month.

 

Quartermaster. Umberto said the Shire Herald’s tabard was never delivered to the shed, so we need to figure out who used it at what event last. The Shire tablecloths are being washed and returned to the shed.

 

Seneschal. Catherine said she had nothing really to report. An e-mail went out on Seneschal’s list and the Darach mailing list re: a Medieval Fight Club; everyone is encouraged to read it.

 

Webwright. Wilhelm said he made a few changes to the website and only one is still outstanding. He uploaded the minutes of the last few meetings, and asked if they could be available sooner. Rhieinwen said they weren’t final until published, but a draft version could be uploaded ahead of time. Wilhelm would like to update the Order of Precedence; he and Rhieinwen will work together on that since she’s updating the Shire contact list. Catherine is also working on updating the list of who has what awards. Wilhelm is also still working on parental consent forms for the website.

 

Youth Officer. Mayken said she had nothing really to report. She asked Wilhelm for the written consent forms when he gets them

 

Guilds

Textiles Guild. Albra said there will be no Textiles workshops on Feb 8 or 15. They are averaging 4–5 people.

 

Brewers Guild. Wilhelm said there would be no meeting this month due to Estrella. The workshop will probably be in Thousand Oaks next month.

 

Cooking Guild. On hiatus.

 

Herbal Guild. Morgana was not present but sent a report. No one showed up for the Jan 8 meeting. There will be no meeting in Feb due to Estrella. The next meeting is Mar 5; we will be researching perfumes. We will possibly be making cheese at Black Oak Lodge.

 

Scribal. Albra said workshops are averaging 3–4 people and they are starting to work on promissories. They need people to trace, etc.

 

Woodworkers. Luzia said the Guild would be starting up again in March. Her shop is somewhat torn apart and not all tools are available, so e-mail her ahead of time to coordinate.

 

Old Business

Rainy Day Alternative Practice Site. Wilhelm went to the site suggested by Thomas in Westlake. It’s a “fabulous facility” and he’s trying to get in touch with the owner/manager to figure out what would be a good benefit for both them and us, to keep the cost down. Catherine asked him to also find out what insurance info the site would need.

 

New Business

Sable Oak Medallions. Luzia got a quote for metal medallions; the cost would be $349.54 + freight. A few people haven’t received their wooden ones and about six said they would like replacements and would be willing to pay out of pocket for them. Umberto said he feels the Shire has the money to afford them; that we didn’t “lose” $1000, we “used” $1000 last year on needed Shire items—they were voted on, agreed to as Shire expenses. To him, that’s what the Shire’s money is for. Alia noted that she suggest only we offset the expense. We wouldn’t be charging new Sable Oak holders. Rhieinwen will post the question to Sable Oak list and then Catherine will post to Shire list. We will hold a vote at next month’s meeting.

 

Isles Use of Darach’s Eric. Isles e-mailed us to request the eric for Crown Tournament. Wilhelm has volunteered to be responsible for it. No need for a vote.

 

Camping at Crown Tournament. The Shire discussed who was going and who was camping. Edward Oakenhart’s vigil will be Friday night and he is looking for a tent to hold his vigil. We agreed to offer the Shire pavilion; Wilhelm will transport it. Catherine will ask for space on eric. Do we all want to camp together? Depends on where merchants and horses are.

 

Shower Truck at Great Western War. Kelvin has agreed to be our camp master again (thank you!). Ismay asked if we can bring eric ropes to border our encampment so we don’t get people wandering through. The Shire voted to do so. Ismay suggested hanging glow in the dark sticks at night and Richard noted there were some pennants to hang from the ropes. Umberto also suggested setting up camp so there are natural walkways for us w/in camp.

 

Kingdom Calendar 2011. All bids must be in by March 1. All shires and baronies are required to bid on one Tier One event and one Tier Two event. They will not put any local events on the calendar until those are booked. (Bidding does not mean we will get the event.) Rhieinwen suggested Autumn Queen’s Champion Equestrian as our Tier Two event; the Shire agreed. Ismay suggested we revisit an earlier plan of combining with Isles: Isles would host Coronation in Isles and we would host Queen’s Champion (possibly at Arroyo Verde). Catherine noted that the Isles Shire meeting is tonight so we’ll find out in a few days what they discussed. Barring that, Ismay volunteered to run Fall Crown, which would be in August—if we got that bid, we’d probably drop Pirate Tournament that year. For our own events, we settled on asking for Black Oak Lodge first choice Mar 18-20, second choice Mar 25–27; and Anniversary first choice May 8, second choice May 1, third choice May 15.

 

Upcoming Events

Black Oak Lodge (Mattea & Alia), Mar 19–21. The site visit is scheduled for Feb 20. Jamal has put out a proposed menu. Registrations are coming in. Collette is doing glassware. Albra said there will be a scriptorium and Collette has offered to teach knitting. Alia will get the volunteer list up again soon.

 

Darach Anniversary (Mayken), May 15. The Crown Prints ad went in for March; Rhieinwen asked for a copy for The Oak Leaf. The major stuff is covered. Should we have the White Elephant sale? It’s an okay idea, makes a little money. Suggestions: We should vet the donations so we have SCA-related items and non-junky items; people who bring stuff that doesn’t sell should take it back at the end of the event. Merchants should check with city about selling at the event. The Shire voted to offer the Shire pavilion to Their Majesties.

 

Darach Pirate Tournament (Lareej), Jul 31. Lareej was not present and sent no report.

 

Yule 2010 (Ismay), Dec 18. We have booked the Ojai Women’s Club from 4 p.m. to midnight. We are having them roll over the deposit, but we will have to cover a stop payment fee because they sent a refund to our old PO box address.
