Shire Meeting Minutes, October 2009

Meeting started: 7:00 p.m.

 

The meeting began with a moment of silence for Kolfinna kottr.

 

Officers

A&S. Albra reminded everyone to look at the Arts & Sciences enclave at GWW: sign up for classes, enjoy all the things that A&S have to offer. War isn’t just about fighting. Also, go to Carreg Wen’s Harvest, where there will be classes.

 

Chatelaine. Aran turned in his quarterly report. He mailed the Sep Oak Leaf to a newcomer in Camarillo. He will get Back in Time fliers and Oak Leafs from the Shire shed. He will not be able to attend the costumed fighter practice this month and asked if there is a warranted Chatelaine to cover for him.

 

Chronicler. Rhieinwen asked for brief remembrances and/or photos for a Kolfinna memorial in the next Oak Leaf. She mentioned there was a lot of fun stuff in this issue. Aran reminded everyone that your Crown Prints proves you’re a member if you don’t have your blue card.

 

Constable. Ismay had nothing to report.

 

Exchequer. Mattea said we have $8728.61, plus she just received a $90 check for Potrero War volunteer hours. The second quarter report has been filed; the Seneschal and Kingdom has copies. Once she receives the Sep statement, she’ll complete the third quarter report. Everyone required is now on the bank account and statements will be coming to Mattea. Alia will take office in January.

 

Herald. Richard plans to step up as Herald in January. He took the Heraldry class at Collegium and will be working with Bruce to get up to speed. Umberto also offered his help. Thank you, Richard!

 

Lists. Thomasina had nothing to report.

 

Marshal. Wilhelm said some older fighters showed up recently to practice. We will be having a costumed fighter practice on Oct 18. He hasn’t heard from the rapier deputy but it looks like rapier is going well. He hasn’t heard from the equestrian deputy. He is looking for someone to run Youth Combat. As of Collegium, Aran is a thrown weapons marshal in training; he will be authorized this month so it will be possible to have thrown weapons at Black Oak Lodge or Darach Anniversary if there is room and interest. Wilhelm heard from someone who is interested in hosting target archery on their property. Contact him for more information.

 

Quartermaster. Rhieinwen had nothing to report.

 

Seneschal. Catherine took the Seneschal, Exchequer, and contracts classes at Collegium, and gained lots of interesting and useful information.

 

Webwright. Wilhelm said he implemented all the corrections that he could without hacking the database. There are about three things outstanding that he needs to fiddle with, which will not be done before GWW. If you find changes that need to be made, let him know at webwright@darachshire.org

 

Youth Officer. Mayken said if you’re interested being a deputy, come talk to her. She had nothing else to report.

 

Guilds

Textiles Guild. Albra said there will be no Textile Guild on the first Tuesday because of GWW. She will attempt to host the third Thursday although her husband will be coming out of surgery.

 

Brewers Guild. Wilhelm said the guild is thinking about going to the brew house in Santa Barbara on Saturday morning; if you’re interested, contact him. They have an Oktoberfest celebration open to the public. There will be no other meeting this month.

 

Herbal Guild. Morgana said there was no meeting last month. The next meeting is Oct 13 and they will work on Christmas presents. If you have ideas, let her know.

 

Woodworking Guild (by appt only). Luzia was not present and sent no report.

 

Old Business

Calendar Dates. Catherine said that starting in 2011, all groups will have to bid on a Tier 1 Kingdom event (Coronation and Crown) and a Tier 2 event before local dates are scheduled. Everyone should think about what we might want to host, what we have the facilities to host, etc. In 2011, Anniversary will be the first weekend in May. The Kingdom is trying to set up the calendar so no anniversaries conflict.

 

Shire Yule. Ismay said she will call the Grange. We voted to try for Dec 19, with a second choice of 12th.

 

New Business

Shire Benches. Wilhelm will be bringing the Shire pavilion to GWW. Umberto and Wilhelm will look at the Shire benches and other items tomorrow. Ismay noted that we need to let the Quartermaster know when things are returned broken, because Rhieinwen noted that one or two of the benches broke at Anniversary. Aran offered the use of his two personal benches for use at the vigils.

 

Costumed Fighter Practice (October 18). There will be fighting noon to 3 p.m., followed by the various Shire guilds talking about what they’re doing after that, followed by a potluck picnic, ending at 5 p.m. Remember we can’t use stakes at this park, so bring only stake-less pavilions.

 

Upcoming Events

Great Western War. The pavilion is going up Wed afternoon via Wilhelm. Umberto and Alexander will be there to help set up. The shower truck signup sheet will be posted soon.

 

Queen’s Champion Equestrian (November 29). At the next Shire meting, Ismay will request a check in Rhieinwen’s name since Rhieinwen is handling Gate. We need help with ground crew. The Kingdom just needs the Shire to be the face of the event. Catherine is doing lunch for Their Majesties. There will be two erics (one heavy, one rapier) for fighters who wish to display their talents to Her Majesty; Wilhelm said they will be bear pits or challenges. Aran will transport the erics. Ismay asked can someone wrangle youths since the Youth Officer will be riding. Arabella is handling the insurance and the park.

 

Black Oak Lodge (Mar 19–21, 2010). Rhieinwen and Umberto did the ceremonial passing of the box to Mattea and Alia. Alia said St. Vincent de Paul hasn’t sent the contract yet, and if it doesn’t arrive by this weekend, she will call after GWW. Rhieinwen noted that we received the contract just after GWW last year. We are on SVdP’s calendar. The theme is Crossroads in Time. Jamal will be cooking the  feast; Catherine and Luzia will making lunch; and Collette, Rod, and Albra will be doing breakfast. Albra will be wrangling A&S and the scriptorium.

 

Darach Anniversary (May 15, 2010). The event will be combined with Altavia Equestrian Championship. We need an event steward!
