Shire Meeting Minutes, June 2009

Meeting started: 7:05 p.m.
Officers
A&S. Albra said six people, including one newcomer, entered the People’s Choice A&S at Pirate-versary. She would like feedback on what A&S classes people would like. The third Tuesday of each month will be dedicated to Scribal Arts (although attendees are welcome to do other things). She would like to schedule an all-day scribal workshop. She was asked if anyone was interested in doing an outfit for Her Majesty for Pennsic. Their Majesties still need largesse for Pennsic as well.
Chatelaine. Aran said he will present the Camarillo Celtic Faire demo report at the July meeting. The box with Back in Time handouts and other media are in the Shire shed. He is planning to talk to the junior high school across from his apartment about doing a demo for them. Rhieinwen was the unofficial Chatelaine-at-Large at Pirate-versary and talked to several potential newcomers.
Chronicler. Rhieinwen said she spent $17.80 on postage for the next six months or so. She is currently printing five copies for mailing plus two backup/comp copies, and she hand-delivers the ones she can at Shire meetings to keep the mailing costs down.
Constable. William was not present and did not send a report. Ismay said there was one lost item that was found at Pirate-versary.
Exchequer. Mattea was not present but sent a report. This month’s bank statement had not yet arrived. The current ledger balance with all cleared and uncleared transactions is $9348.98.
Herald. We need a herald!
Lists. Thomasina was not present but Aran read Thomasina’s report. She said Pirate-versary was fun and hectic, and thanked Una and Aldgytha for their assistance with Lists. There were 13 entrants in the heavy lists, 16 in the rapier lists, and 7 in the equestrian lists. All events ran well with no mishaps. See the article elsewhere in this issue congratulating our new champions and protectors!
Marshal. Wilhelm said we had an event with fighting. There was one heavy authorization and two rapier authorizations. It was a good event with lots of people, lots of fun, and no problems. He needs deputies for equestrian and youth combat. Aran added that as of July 1, all authorized marshals need to send their contact information to their appropriate Kingdom Marshal for their combat form in order to retain their authorization. People should check that their information is correct in the Kingdom database.
Quartermaster. Rhieinwen and Umberto thanked Wilhelm, Aran,
Catherine, Elizabeth, and Alexander for their help loading up vehicles for
Pirate-versary and unloading afterwards. An especially big huzzah for Aran for
loaning the Shire his Bronco even though he couldn’t attend the event!
Seneschal. Elizabeth heard from the Kingdom Seneschal, who wants quarterly reports by June 10. Please send your reports to Elizabeth ASAP. This was her last meeting as Seneschal and the Shire thanked her for her excellent service.
Webwright. Wilhelm said he talked to Griffin about the direction they’re heading in for the website.
Youth Officer. Mayken said due to conflicts, there were no youth activities at Pirate-versary. Elizabeth said Her Highness thought it was wonderful that the children were out playing in the dirt.
Guilds
Textiles Guild. See A&S above.
Brewers Guild. Wilhelm said five people attended the May meeting. They talked about cordials and tasted previous projects, and everyone got home safely. The next meeting will be June 11, probably in Thousand Oaks.
Cooking Guild. On hiatus, but Guild members provided food for Their Highnesses at Pirate-versary—thank you!
Herbal Guild. Morgana said the last meeting was May 21. Five people attended and did no herbal stuff. The next meeting is June 18 and they will be researching herbal vinegars.
Woodworking Guild. Luzia was not present and sent no report. Ismay said Luzia went to a woodworking class in Pennsylvania.
Old Business
Pirate-versary and Darach Equestrian Championship. Elizabeth thanked everyone for all their work. In hindsight, we shouldn’t do four events in one. Their Highnesses and Their Excellencies of Altavia were impressed. We made more than $200 in the white elephant sale and about $100 in the lunch basket auction. Umberto noted that it was nice that the fighting didn’t conflict with equestrian activities. The Conejo Creek Equestrian Park people were thrilled with how clean we left everything and didn’t charge us a site fee. Ismay said Their Highnesses were impressed that we ask each Shire Protector to add something to the regalia.
Presentations for Coronation. Last month we voted to donate Shire funds to the Kingdom Travel Fund (which is legal); this month we voted on a donation amount of $250 (approximately what we made in the white elephant sale).
New Business
Bids for Black Oak Lodge 2010. No one has submitted any bids. If anyone would like to submit a bid, please post it to the list (upload a file) no later than one week before the July Shire meeting. We will vote on the bids at the July meeting.
Upcoming Events
Great Western War. Ismay said the budgets are due this week for anyone on the staff. Land allocation is not yet up but Kelvin (wulfrunent@roadrunner.com) is our contact. Reminder: Anyone camping with Darach must do a shift cleaning the shower truck, as we get a preferred spot for sponsoring one of the trucks.
Carreg Wen Anniversary. Alexander noted that the date is June 20 and we are all invited.
